Chase Lenon of the State Board of Accounts has asked IASBO to send the following memo to the membership:

“For the fiscal year ending June 30, 2020, Indiana schools will be required to report financial information through the Gateway system in the Annual Financial Report, which is due by August 29th, 2020. This system includes an optional file upload feature that accepts a fixed width text file in place of manual entry. Because school information is different than other units currently using the system, a new file specification has been created just for schools. The process and file specification for other unit types using Gateway will not change. Your financial information systems vendor will need the capability to produce a text file according to the new specification with the required financial information.  

We expect to have a finalized file specification in the first Quarter of 2020. At that time we will provide additional information and an expected timeline with milestones for testing.  

We will be sending a similar memo to your vendors with this information and working directly with them on this issue. If your vendor does not appear on the attached list, please provide me with their contact information.

Work Year:                                 12 Month Positon (252 Days) – January 1 to December 31

General Summary of Duties:  The job of the Executive Secretary/Accounts Payable Processor is done for the purpose of providing complex and confidential secretarial and administrative support to the Business Office to assure the smooth and efficient processing of accounts payable while maintaining the district’s compliance with state and federal laws and regulations with respect to accounting and personnel practices.

Essential Functions:
• Assist the Chief Financial Officer with duties as the treasurer of the Corporation.
• Oversee the payment of accounts payable for the school district.
• Assist with maintaining inventory and fixed assets records for the school district.
• Assist in the mass purchase of supplies and materials.
• Prepare monthly claims register for School Board approval.
• Assist the Corporation Reception’s duties when necessary.
• Prepare and process 1099-Misc forms.
• Maintain and pay corporation revolving credit cards.
• Assist with financial reporting as needed.
• Ensure compliance with state and federal laws and regulations with respect to school finance practices.

Non-Essential Functions:  While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.
• Performs other duties and additional responsibilities as directed.
Entry-Level Requirements:
• Education/Training:  High school diploma required.  Preference given to individuals with post-secondary education or demonstrated knowledge of school finance.
• Experience: Job-related experience with knowledge of school finance preferred.
• Certifications &/or Licenses:  IASBO certification preferred.
• Other: Ability to perform the essential functions, meet the performance aptitudes, and fulfill the physical/sensory/environmental requirements of the job (with or without reasonable accommodations) is required.
